Our client is a reputable hospital in Boston seeking a dedicated and detail-oriented Administrative Assistant to provide direct administrative and clinical support to a medical professional. This is an excellent opportunity for an entry-level professional eager to work in a fast-paced, patient-centered environment and grow within the healthcare field.

Key Responsibilities:

  • Manage the medical professional’s clinic schedule, including patient appointments, cases, and meetings.
  • Coordinate operating room bookings, imaging studies, and pre-/post-operative appointments.
  • Maintain calendar and ensure all appointments are accurately documented and confirmed.
  • Serve as the first point of contact for patients via phone, email, and in person.
  • Answer questions, provide appointment reminders, and help patients navigate next steps in their care.
  • Obtain and verify patient information and insurance prior to visits.
  • Prepare and manage patient charts, medical records, and prior authorizations.
  • Process referrals, forms, and follow-up paperwork in a timely and HIPAA-compliant manner.
  • Work closely with the team and other departments to ensure seamless care coordination.
  • Support the clinic during in-person visits (e.g., rooming patients, preparing documentation).
  • Assist in tracking surgical cases, follow-ups, and cancellations.
  • Ensure that patient experience aligns with hospital’s standards of excellence.

Qualifications:

  • Bachelor's degree in health science, health administration or psychology preferred.
  • No prior clinical experience necessary – ideal for recent graduates or those looking to enter healthcare.
  • Must have prior customer service experience.
  • Strong organizational skills with attention to detail and follow-through.
  • Excellent verbal and written communication skills.
  • Compassionate, dependable, and team-oriented.
