Expense Analyst

Key Responsibilities

• Oversee day-to-day, weekly, and monthly processing of American Express and Concur expense reports; serve as the prim
• ary contact for administrative teams regarding Concur usage
• Verify expense categorizations in Concur, ensuring consistency with the general ledger, and upload finalized data into Sage Intacct
• Conduct pre-upload reviews of Concur data to flag inconsistencies in project coding, portfolio alignment, receivables, or entity-level P appropriately allocate non-deductible costs
• Ensure accurate electronic archiving of Concur submissions, including all receipts and approvals, to maintain audit readiness
• Manage the accounts payable email inbox; confirm invoice accuracy, assign correct coding, and process for payment in accordance with approval protocols
• Initiate electronic payments and apply funds to outstanding invoices within Sage Intacct to maintain current vendor account balances
• Assist in monthly close activities, including account reconciliations and investigation of any discrepancies or missing entries
• Lead the preparation and filing of 1099 forms for all entities; support quarterly submissions for CRT and NY Sales Tax
• Review and onboard new vendors, confirming all required documentation is collected; perform bank verification and setup based on vendor tax designation
• Investigate and respond to standard inquiries regarding payments, variances, or vendor concerns, escalating issues when appropriate
• Maintain adherence to internal controls and established accounting procedures
• Provide documentation and support during audits, manage electronic recordkeeping, download monthly bank statements, and ensure compliance with retention policies

Qualifications

• The ideal candidate will bring 5+ years of relevant experience in accounting or a related function, with solid expertise in accounts payable, general ledger activities, and familiarity with financial software.
• Bachelor's degree in Accounting or a closely related discipline (required)
• Proficiency with Concur Expenses (preferred) or a similar expense reporting platform
• Strong understanding of accounting principles, including debits and credits, intercompany transactions, and general ledger structures
• Advanced Excel skills, particularly in using formulas, pivot tables, and data validation tools
• Hands-on experience with Sage Intacct or a comparable cloud-based accounting system
• Familiarity with electronic payments and banking platforms
• Proven ability to manage multiple tasks, meet competing deadlines, and adapt in a collaborative team setting
• Effective communication and analytical problem-solving skills
